Office Manager

T.E.A.L.® (Tell Every Amazing Lady about Ovarian Cancer Louisa M. McGregor Foundation) is a not for profit with its office located in Park Slope, Brooklyn. We are looking for a Full Time Office Manager to join our team. The Office Manager will be expected have an active interest in the companies well- being, look beyond their basic duties, promote effective communication, and be a team player.

Responsibilities:

  • Overseeing day-to-day operations.
  • Developing organizational policies.
  • Managing administrative budgets.
  • Hiring and training administrative staff.
  • Negotiating contracts and agreements with vendors.
  • Maintaining corporate relationships.
  • Monitoring operating expenses.
  • Liaising with HR and other departments.
  • Updating board members on business performance.

  • Supports company operations by maintaining office systems and supervising staff.
  • Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Completes operational requirements by scheduling and assigning employees, following up on work results.
  • Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
  • Maintains office staff by recruiting, selecting, orienting, and training employees.
  • Maintains office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.
  • Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions.
  • Create and revise Foundations templates
  • Verify new hire paperwork is complete and maintain personnel files

Bookkeeping (as needed)

  • Post transactions involving cash receipts, disbursements, accounts payable, inventory, and accounts receivable to general ledger accounts as necessary
  • Assist Accounting Consultants in recording, reconciling and reviewing accounting data as necessary
  • Prepare and disburse payments to vendors via QuickBooks accounting software
  • Compile statistical, financial, accounting or auditing reports and tables pertaining to such matters as cash receipts, expenditures, accounts payable, accounts receivable and profits and losses
  • Assist in the processing and review of payrolls and general ledger entries.
  • Clerical administrative bookkeeping tasks as needed

Qualifications:

  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to prioritize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office Quickbooks? and Google products

Education:

  • Bachelor’s degree in business administration, communications, or a related field
  • 2-5 years of work experience in an administrative/office management role

Community Program Associate

T.E.A.L.® (Tell Every Amazing Lady about Ovarian Cancer Louisa M. McGregor Foundation) is a not for profit with its office located in Park Slope, Brooklyn. We are looking for a Full Time Community Program Associate to join our team. The Community Program Associate will be expected to bring new ideas to the table and be able to work in a fast paced, collaborative and creative setting.

Responsibilities:

Programs

  • Run Survivor, Medical, and Awareness programs as well as other events.
  • Plan & execute logistics needed to carry out programs including coordinating scheduling of moderators
  • Facilitate or assist with the facilitation of programs including moderating workshops.
  • Integrate systems of evaluation and learning into each program to allow data drive decision-making, continuous learning, and program evolution based on results
  • Experience in program/project management, including the ability to define outcomes, organize task and deliverables, and successfully oversee a project to completion.
  • Assist with building and maintaining systems to track important programs metrics
  • Assist CEO and other management with research and analysis related to potential funding initiatives and/or special projects

Grant Management

  • Ensure accurate input and updating of the Foundation data base
  • Grants tracking and information management
  • Help develop and maintain system for processing renewals of multi-year grants, check for thoroughness and consistency of documentation across program areas.
  • Prepare grant agreements, reports templates, pledge and turndown letters for use across the Foundations grant programs, help develop and maintain system for processing renewals of multi-year grants, check for thoroughness and consistency of documentation across program areas.

Qualifications

  • Strong writing skills are crucial- We will request a writing sample.
  • Maintain a high level of confidentiality
  • Take initiative and work strategically and independently on multiple, simultaneous projects.
  • Ability to travel for outreach
  • Occasionally working night and/or weekends
  • Experience in health or social services
  • Proficient in MS Office, internet and database management.
  • Experience in WordPress, RENXT and Mailchimp is preferred but we are willing train the right candidate.

Education:

  • Bachelor’s degree with at least 1 year of experience.

Compensation

  • The Foundation will offer a competitive salary of $40,000, based on experience. We also offer paid holidays, vacation and sick days.

Grant Writer:

Tell Every Amazing Lady® also known as T.E.A.L.®, is a grassroots 501C3 not for profit organization in Brooklyn, NY. We are seeking candidates for our Freelance Grant Writer position for our growing foundation. We are looking for someone with experience to write,review, finalize and submit appropriate applications.

Responsibilities:

  • Develops, edits and coordinates written proposals and applications to prospective and current funding sources
  • Help maintain a master calendar for all proposal/grant activity, to include submitted proposals and grant requests and track all prospects.
  • Work with CEO to conceptualize, develop, and implement strategies and craft pitches to fit funders’ goals and requirements.
  • Work with colleagues throughout the organization to gather information and data for proposals and reports, and develop content for proposals and program budgets.
  • Prepare and review budgets in Excel.
  • Assist in the post grant submission period for feedback on submitted proposals.
  • Serves as communication liaison between T.E.A.L.® and funders

Qualifications:

  • Bachelor’s degree in English, Journalism, Communications or related field.
  • 3-5 years of writing experience in a capacity that emphasizes proposal writing, grant writing, technical writing, and business development or fundraising
  • Strong proofreading skills
  • Must be able to provide references
  • Demonstrated ability to interpret budgets and financial reports and to convey information in narrative form as well as numerically
  • Strong ability to organize and prioritize tasks to balance assigned responsibilities in a fast-paced, deadline-oriented environment
  • Demonstrated ability to meet deadlines for grant writing projects
  • Ability to communicate with diverse audiences, and to know the appropriate communication method for the given audience
  • Proficiency with MS Office, Google Docs, and searching online databases
  • Demonstrated persuasive writing and editing skills with keen attention to detail
  • Must be able to attend meetings in Brooklyn office

Volunteer Georgia T.E.A.L.® Student Ambassador

Tell Every Amazing Lady®, a 501C3 not for profit organization located in Brooklyn, NY is searching for a college student to help fulfill the organization’s mission. Able to offer internship/community service hours as needed.

Responsibilities:

  • Interact with communities in Georgia, beginning within their already existing relationships and expand through targeted partnerships with other schools, community groups & organizations, businesses, and medical centers to promote T.E.A.L.®’s mission of Women’s Health Awareness with an ovarian cancer focus
  • Help T.E.A.L.® with fulfilling mission of spreading awareness about ovarian cancer signs and symptoms
  • Create awareness building activities
  • Help circulate T.E.A.L.®’s printed and digital educational materials
  • Collaborate with T.E.A.L.® staff / volunteers on new ideas and tasks
  • Weekly updates with CEO via phone/e-mail
  • Help out with outreach during community job fairs and affiliated colleges events

Qualifications:

  • Must currently live in the state of Georgia
  • Currently a full-time college student
  • Able to commit a minimum of 10 hours per month
  • Previous non-profit experience a plus
  • Strong interpersonal communication skills
  • Strong leadership skills
  • Demonstrates skills in planning, and time management
